Welcome to Great Vibe Events! These Terms and Conditions apply when you use greatvibeevents.org, register for a Great Vibe Events program, attend one of our events, or make a donation. By doing any of these, you agree to these terms.

1. About Us

Great Vibe Events (“GVE,” “we,” “us,” or “our”) is a 501(c)(3) nonprofit organization (EIN 93-4241529) based in Oakton, Virginia. We host inclusive social events and life skills programs for adults 18 and older with intellectual and physical disabilities, along with their families and caregivers.

2. Who Can Attend

GVE events are designed for adults 18 and older. Family members and caregivers are welcome to attend alongside the participants they support.

3. Registration and Payment

• Registration is completed through the online registration form linked on our Events page. Please complete one form per participant.
• Registration closes on the date listed for each event, or earlier if the event reaches capacity.
• Payments are processed securely by third-party providers (such as Jotform and PayPal). GVE does not store your card information.
• Event fees and any caregiver meal fees are listed on the registration form.

4. Cancellations and Refunds

• If you cancel before registration closes for an event, you will receive a full refund.
• If you cancel after registration closes, we cannot offer a refund, but we will gladly give you a credit toward a future GVE event.
• If GVE cancels or reschedules an event, you may choose a full refund or a credit toward a future event.
• To cancel, email info@greatvibeevents.org with the participant’s name and the event.

5. Caregivers and Support

Any participant who needs one-on-one support, help with personal care, or help with medication must attend with a caregiver who stays for the entire event. GVE staff and volunteers do not provide personal care and do not give medication. Caregivers are responsible for supervising the participants they support.

6. Health and Safety

• Please share important health information on the registration form, including allergies, dietary needs, and any seizure history, so we can plan safely.
• Each participant (or their guardian) must complete GVE’s event registration and release form.
• In an emergency, GVE may contact emergency services and the emergency contact listed on the registration form.

7. Code of Conduct

Everyone at a GVE event agrees to follow our Code of Conduct. GVE may ask anyone who does not follow it to leave an event. Fees are not refunded when someone is asked to leave for conduct reasons.

8. Photos and Video

GVE takes photos and video at events to share on our website, social media, newsletters, and promotional materials. If you do not want a participant to appear in GVE photos or video, you can opt out on the registration form or by emailing info@greatvibeevents.org. We will make reasonable efforts to honor every opt-out.

9. Donations

Donations to Great Vibe Events are tax-deductible to the extent allowed by law. Donations are processed by PayPal and are generally non-refundable. If you made a donation in error, please contact us within 30 days.

10. Use of This Website

• All content on this website, including text, photos, logos, and graphics, belongs to GVE or is used with permission. Please do not copy or reuse it without our written permission.
• Please do not misuse the website, attempt to disrupt it, or submit false information through our forms.
• Our website links to outside sites, such as registration and payment pages. GVE is not responsible for the content or privacy practices of those sites.

11. Assumption of Risk and Limitation of Liability

GVE events include physical activities such as dancing and games. By attending, participants and caregivers accept the ordinary risks of these activities. To the fullest extent permitted by law, GVE, its volunteers, and its venue partners are not liable for any indirect or consequential damages arising from use of this website or attendance at GVE events. The signed event registration and release form also applies to each participant.

How we collect and use personal information is explained in our Privacy Policy.

13. Changes to These Terms

We may update these Terms and Conditions from time to time. Changes take effect when they are posted on this page, and the “Last updated” date above will change.

14. Governing Law

These Terms and Conditions are governed by the laws of the Commonwealth of Virginia.
